Executive Summary

Big Brothers Big Sisters of Massachusetts Bay (BBBSMB) is the largest mentoring organization in Massachusetts. BBBSMB has impacted the lives of “Littles” and “Bigs” in their community for 70 years. The organization changes lives and helps communities and they have the statistics to prove it: 90% of Littles said that their Big relationship helped them make better choices, and 77% reported performing better in school.

BBBSMB needed a system to manage and track volunteers and donors. They selected Salesforce as a platform, and worked with 501Partners for customizations, enhancements, and training.

 

Challenges

BBBSMB cultivates relationships between Bigs and Littles. They needed to manage their rapidly-expanding pipeline of volunteers, as well as interactions between Bigs and Littles. Additionally, they needed a central database to track the screening and intake process and manage ongoing communications.

Prior to beginning their journey with 501Partners, BBBSMB utilized a custom-built database. It lacked flexibility, and they could not add functionality or integrate with other platforms.

Solution

Terry McCarron, Director of Program Services, worked with Stefanie Archer at 501Partners to implement a solution. Working with 501Partners allowed BBBSMB to improve their business practices and implement much-needed tracking and analysis tools. With the new Salesforce solution, volunteers and families can create and update their personal information, saving time for BBBSMB employees.

Scheduling meetings is now effortless—Salesforce has the ability to send multiple emails until the meeting is successfully scheduled. Having their entire network of volunteers, donors, families, and marketing contacts in one central location streamlines BBBSMB’s work and positively affects all areas of operation.

Results

BBBSMB reaped multiple benefits from their Salesforce implementation. Terry feels that “every person in their office has an assistant.” The ability to have their entire network in one place, track interactions, and strategically plan for the future are just some of the reasons why they’re thrilled with their new system.
